How we look after your school's data.
What we hold
The records your school puts into Academix: learners and guardians, fees and payments, suppliers and payments, staff and payroll, and the accounts built from them. We also keep the names and emails of the people who sign in, and a log of what they do.
Whose data it is
Your school's data belongs to your school. We use it only to run the service for you. We do not sell it or use it for advertising.
Who can see it
People your school invites, in the roles you give them, and accounting firms you grant access to until you withdraw it. Academix staff see account details only to support you, and those actions are logged.
Verification pages
When someone checks a document's serial number, they see the school, the document type, number, amount and date. Names are shortened (for example "B. Mwangi") so the page confirms a document without exposing personal details.
Security
Two-factor sign-in, sessions that time out, encrypted secrets, separation between schools' books and an audit log that cannot be edited.
Leaving
You can ask for an export of your school's records at any time, and for your data to be deleted when you leave, subject to records the law requires us to keep.
