Every client school. One sign-in.

If your accounting firm keeps the books of several schools, Academix gives you one workspace for all of them, a package priced across your portfolio, and a product your clients will thank you for.

How accounting firms work in Academix

Two ways to bring a school in, and the school stays in control of its books.

01

Open your accounting firm

Create an accounting firm account and invite your staff. Owners manage the team; staff work on client schools.

02

Schools grant access

A school already on Academix enters your accounting firm's Academix ID and gives you the accountant, bursar or auditor role. It can withdraw it at any time.

03

Or set the school up

Create the school for your client with the right chart for its type. Your accounting firm gets accountant access and the head is invited to take ownership.

The Accounting Firm Package

Built for accounting firms that serve several schools. One agreement, one rate across your portfolio, and everything your team needs.

Your whole team

An accounting firm workspace with owner and staff roles, and no charge per user.

One portfolio

Every client school on your accounting firm's page; switch between them without signing in again.

Portfolio pricing

One rate per learner across all your client schools, agreed with your accounting firm.

Billing your way

Academix bills your accounting firm and you include it in your fee, or bills each school directly.

Onboarding help

We help you set up each new client: chart, fee structures, learners and opening balances.

Controls clients trust

Two-factor sign-in for your staff, and every change recorded in the school's audit log.

Pitch it to the schools you serve

Your clients' heads and boards want answers about money. Academix lets you give them better ones, faster.

  • Fees collected and receipted properly

Every payment on an official, verifiable receipt, spread across the right vote heads.

  • A dashboard the head can read

Fund balances, collections and arrears by class, live rather than at month end.

  • Audit-ready records

Vouchers with approvals, monthly reconciliations and IPSAS statements from the same books.

  • The school keeps control

It owns its books and decides who sees them, including your accounting firm.

A month at every client school

  1. Daily

    Receipts and payments

The bursar receipts fees; vouchers go to the principal for approval.

  2. By the 9th

    Statutory remittances

PAYE, NSSF, SHIF, housing levy and NITA paid and recorded.

  3. By the 15th

    Close the month

Bank reconciled, trial balance reviewed, period locked.

  4. Termly

    Billing and reporting

Billing run, fee balances to the board, collections report.

  5. Year end

    Annual statements

Receipts and payments, financial position and notes for the auditor.

Questions from accounting firms

Do schools need their own subscription?

Each school is on Academix in its own right. Under the Accounting Firm Package the subscription can be billed to your accounting firm at your portfolio rate, or to the school directly.

Can a school remove our access?

Yes. Access is granted by the school and can be withdrawn by it at any time; its books stay with the school.

What can our staff do at a client school?

Whatever role the school gives your accounting firm: accountant (books, journals, reports and period close), bursar (day-to-day fees and payments) or auditor (read-only).

Do our staff need separate logins for each school?

No. Each person has one Academix sign-in and sees all the client schools your accounting firm has access to.

Can we try it first?

Yes. Open an accounting firm account and set up one client school on the 30-day trial before you commit.
